Corporate and Estates Responsibilities

As a member of STFC’s Estates and Facilities Management team, you will proactively support the Estates remit to deliver flexible, customer focused and efficient services that support the delivery of STFC’s vision, values and objectives. The Estates services team needs to be agile and able to adapt to the ever changing needs of our diverse customer base therefore it is expected that you will demonstrate a flexible and adaptable approach.  

All members of the Estates team will, from time to time, be expected to lead or participate (appropriate to Band level) in STFC and Estates projects that may be outside their normal remit

Remit of Role

You will provide efficient administrative support to ensure the wide range of work streams and responsibilities are proactively prioritised and delivered to best effect.

You are required to be self-motivated, have a customer focused approach and will be well organised with an interest in STFC and Estates functions. Clear communication skills and team commitment are essential for this role.

 Key Duties

  • issue/update ID passes using bespoke database systems (CDR and Ccure)
  • book conference rooms and organise conference events for external customers
  • book taxis, rail travel and distribution of rail tickets, as necessary
  • report and allocate jobs on the Estates Services Helpdesk (Pirana)
  • issue door key cards for site users
  • administration support for Estates Services team
  • administration support to Contract Service Managers:
    • raising requisitions, processing purchase orders, checking invoices & receipting on Oracle system
    • providing Secretarial support for all contract meetings – responsible for scheduling appointments, preparing and drafting of agendas, collation of reports and data for review at meetings, minute write-up and chasing of actions
    • preparing and managing contract files for Soft Services and Hard Services Contracts
    • raising ad-hoc cleaning quotes for customers
  • provide cover for main DL Reception
  • book accommodation for external visitors
  • other general administration duties deemed reasonable as and when required.

Shortlisting Criteria

Essential:

  • previous experience in an administration role
  • excellent written skills with attention for detail and excellent grammar
  • 5 GCSE level passes, subjects to include English and Maths (or equivalent)
  • administration qualification
  • good IT skills and fully conversant with Microsoft Office
  • a quality covering letter.

Interview Criteria

Essential:

  • highly organised and proactive with a ‘can do’ attitude with the ability to work on multiple tasks
  • previous experience in an administration role
  • must be able to communicate effectively at all levels
  • commitment to team working and collaboration 
  • willingness to engage and embrace change
  • good IT skills and fully conversant with Microsoft Office
  • flexibility with working hours.
