The Science and Technology Facilities Council is one of Europe’s largest multi-disciplinary research organisations, working with some of the most exciting and inspiring science in the world. We operate five laboratories across the United Kingdom and manage the UK’s involvement in major international science bodies including CERN.

An opportunity has arisen for two Personal Assistants within the Scientific Computing Department of the organisation. One PA will provide support to three Division Heads whilst the other will provide PA support to the SCD Director (on two days per week), Head of Operations and office manager duties. 

 Duties of these roles will include:

  • Manage email/diary/meetings of Senior Staff
  • Coordinate and organise itineraries, trip logistics, and travel
  • Be an active advocate for collaborative team spirit
  • Supporting SCD event and workshop organisation, coordination, and logistics
  • Preparing briefing documents for meetings
  • Work closely with the SCD Director’s PA to ensure smooth handover of information and support
  • Support SCD Graduate recruitment programme/arranging interviews
  • Arrange and provide secretarial support for a number of embedded meetings within SCD, example Group Leaders, Technology Discussion Group, Business Operations Group, SHE Committee including minute taking
  • General admin duties to support the Scientific Computing Department
  • Organising minor works and purchase of furniture for R89. 

Contacts and Communication

  • Part of wider Administration Team supporting Scientific Computing
  • Regular contact with staff internally and externally
  • Regular contact with collaborators and partners.

Other Relevant Information

  • Visit other STFC sites as required.

Shortlisting Criteria (S), Interview Criteria (I) and both (S&I)

Essential:

  • Previous experience in a senior PA role (S&I)
  • Experience of working with senior staff (S&I)
  • GCSE's (or equivalent) in Maths and English (S)
  • Proficient in use of Microsoft Office, Word, Excel and Outlook (S)
  • Experience of producing effective minutes and agendas (S)
  • Ability to travel to other STFC sites/support workshops and events which may include overnight away from home (I)
  • Effective communication skills (S&I)
  • Proactive in dealing with matters and anticipating the requirements of the Director/Head of Operations (I)
  • Excellent organisational and time management skills (I)
  • Ability to work independently and prioritise work (I).

Desirable:

  •  Degree or Business/Management/Admin related qualification.
