The purpose of the role is to provide administrative and co-ordination support for the Operations Senior Management Team. You will also support project activities for the Service Delivery teams reporting to the Deputy Chief Operating Officer (DCOO) including:  

  • Providing support to operational projects, co-ordinating activities where required, ensuring that deliverables are met
  • Take ownership to own and resolve project queries
  • Proactively lead on producing management information reports and data analysis as requested for projects
  • Gather information and clarification of customers needs when required
  • Provide administrative support to the Operations Senior Leadership Team (OSLT)
  • Provide support to the OSLT by arranging management meetings including both weekly and monthly SLT, Quarterly management meetings and team brief
  • To undertake the timely preparation of documents for management meetings including weekly and monthly SLTs, Quarterly management meetings and team brief, ensuring that the Operations Senior Management Team (COO, DCOO, FSD & Procurement) are briefed and supported sufficiently in advance, all action points are followed up in a timely manner, and housekeeping arrangements are made
  • To take, draft, circulate, agree and issue minutes of meetings as required in a timely & appropriate manner
  • Build effective working relationships within key stakeholders across operations and the wider UK SBS business
  • Encourage and foster a collaborative team environment
  • Any other duties as required to support the DCOO, COO and Operational Heads of Service.

Education

Essential:

  • GCSE’s or relevant experience.

Desirable:

  • CIPD Level 3.

Knowledge

Essential:

  • An understanding of HR practices
  • Good knowledge of Oracle or other ERP system.

Desirable:

  • Good knowledge of UK SBS
  • Good knowledge of HRSD processes and clients.

Skills & Abilities

Essential:

  • Good communication skills both written and verbal
  • Ability to work on own initiative and as part of a team
  • Good organisational skills with an ability to prioritise work load
  • Accuracy and attention to detail
  • Proactive
  • Good analytical skills
  • General PC skills, including a good working knowledge of MS Office packages.

Desirable:

  • Ability to influence, up to Senior Management level.

Experience

Essential:

  • Experience working in a shared services environment
  • Experience in co-ordinating activities and/or small to medium projects.

Desirable:

  • Experience of working with Oracle
  • Experience working on projects
  • Experience of dealing with and managing confidential information
  • Experience of working in a high volume transactional/shared service environment.
