Personal Assistant

Role Description

To ensure that the business of the Finance Senior Team is supported effectively and, in particular, to contribute to the maximisation of their time by effective diary management and meeting organisation

Delivery / Programmes / Projects / Process

  • Provides a quality support service to the Financial Controller/Head of  Financial Control, the Head of Financial Planning & Analysis and the Business Change Manager
  • Manages diaries and travel, using initiative to make considered judgements when juggling demands on the schedule
  • Manages information flow to and from the Finance Senior Team member, using knowledge and judgement to divert relevant information or queries to others where appropriate
  • Supports the smooth running of meetings – including meeting arrangements
  • Prepares and circulates meeting papers
  • Take notes of meetings and drafts resulting decisions and actions
  • Undertakes basic financial/budget management as including processing of invoices and expenses
  • Complies with UKRI’s records management requirements
  • Provides ad hoc support for other members of the support team; ability to effectively adapt to other styles of working

Essential Skills, Qualifications and Experience

  • Previous PA experience for a Head of/Senior Team member
  • Able to work independently and as part of a team
  • Very good communication and interpersonal skills (verbal, presentational and written)
  • Well-organised with the proven ability to plan ahead
  • Able to multi-task and prioritise tasks to meet deadlines
  • Able to work proactively and on own initiative with minimal supervision
  • Demonstrates the ability to work flexibly
  • Demonstrates tact, diplomacy, integrity, resilience, patience and discretion
  • Deals effectively with challenging situations
  • Very good attention to detail and accuracy
  • Self-motivated and quality-focussed
  • Proficient at using business-related IT

UKRI supports research in areas that include animal health, agriculture and food security, and bioscience for health which includes research on animals, genetic modification and stem cell research. Whilst you may not have direct involvement in this type of research, you should consider whether this conflicts with your personal values or beliefs.
